Introduction
Your Profile
Your profile is where you manage everything personal to your account: how you look to teammates, how you log in, and how ORCA behaves for you day to day. Access it by clicking your avatar in the top-right corner and choosing Profile.
Photo and Display Name
Your profile photo appears next to your name throughout ORCA: in to-do assignments, staff chat, record activity, and anywhere the team can see who did what. Upload a clear headshot so your colleagues know it's you.
Your name is what ORCA uses everywhere your identity appears. If you change it, it updates across all records and activity immediately.
Password
To change your password, enter your current password and then your new one twice to confirm. ORCA won't accept a change without the current password, so your account stays protected even if someone else has access to your screen.
If you've forgotten your password entirely, use the Forgot your password? link on the login page. ORCA will email you a reset link.
Two-Factor Authentication
Two-factor authentication (2FA) adds a second verification step at login. Once enabled, you'll need both your password and a one-time code from an authenticator app (such as Google Authenticator or Authy) to sign in.
To enable 2FA:
- Click Enable in the Two-Factor Authentication section of your profile.
- Scan the QR code with your authenticator app.
- Enter the six-digit code the app shows to confirm the setup.
- Save your recovery codes somewhere safe. These let you get back in if you lose access to your authenticator.
To disable 2FA, click Disable and confirm your password. Your recovery codes are invalidated at the same time.
SMS Notifications
If your account has SMS enabled, you can opt in to receive ORCA notifications by text message. Tick Allow notifications from ORCA by SMS in your profile and save. Untick it at any time to stop.
Compact View
The compact view preference reduces the row height in list views across all sections, letting you see more records on screen without scrolling. It's a personal preference, so switching it on or off only affects your view, not anyone else's on the account.
Tick I prefer a compact view in your profile and save. The change takes effect immediately on your next page load.
Daily Briefing Email
The Daily Briefing is a morning email that summarises your day: open to-dos, upcoming calendar events, and other items that need your attention. You can opt in or out from your profile by ticking or unticking I like the Morning Briefing Email.

Browser Sessions
The Browser Sessions section lists all the devices and browsers currently signed in to your ORCA account. If you see a session you don't recognise, you can log out all other sessions from here. Your current session stays active.
