Accounts
"Accounts" in ORCA means two things, depending on context. Your ORCA account is the workspace you and your team operate in, the one you log into. Account records are the companies, organisations, and clients you manage inside that workspace. Both are covered here.
Switching Between ORCA Accounts
If you have access to more than one ORCA workspace, or want to explore the demo accounts, you can switch between them from the account chooser.
Click your current account name in the top navigation bar to open the chooser. Your accounts are shown at the top with a quick summary: staff count, company count, overdue follow-ups, and the last time a communication was logged. The active account is highlighted with a badge.
Below your real accounts, under Explore ORCA, you'll find the three demo accounts. These are available to every user automatically, no invitation or setup needed. See Exploring ORCA with demo accounts for more on what they contain.
Account Records
From global corporations to your local boutique design studio, you can manage everything about them here. These pages come with standard fields such as "Name" and "Address", but you can add as many custom fields as you like to the Accounts pages.
Adding custom fields is covered in depth further down this page, but basically, if you want to keep track of whether a company sells shoes or shears sheep, this is the place.
Add a new Account
To add a new account simply click the "Create New Account" button and fill in the form.
Every account is automatically assigned an "Account Owner". When you create an account the default Account Owner will be yourself, but if there are other members of your team you can assign them to the position.
View an Account
Click the account name to see the detail view.
Here you can access any contacts associated with this account, and any communication between your organisation and their contacts.
You can quick-link to create more contacts for this company, or log communications with them.
Edit an Account
From the Account Detail screen you can easily edit the account details.
Simply click the edit icon to reveal all of the standard and custom form fields.
Once you have updated all of the details, remember to click the "Update" button.
This screen also allows you to delete the account altogether.
Custom Account Fields
Beyond the standard Account fields you can add as many custom fields and templates as you like.
Create a custom page
Need to store sector-specific information like “Number of sites” or “Accreditation Level”? You can build a dedicated custom page that sits alongside your standard account info. Each account can then hold structured, searchable data that’s specific to your needs.
Add custom inputs to a custom account page
Inputs can be dropdowns, checkboxes, date pickers - anything you need. Once added, they appear as part of your account detail form, and can be used in filters, reports, and searches throughout ORCA.
