Kanban Board

The kanban board displays records as cards arranged in columns, where each column represents a picklist option. You can drag cards between columns to update a record's status without opening it, which is useful for pipelines, project trackers, and anything where moving something from one stage to the next is the main daily action.

Kanban has to be enabled per section before it becomes available. If you're an admin setting it up for the first time, see Creating Sections for the toggle and configuration steps.


Switching to Kanban View

Once the kanban board is enabled for a section, a view switcher appears in the top right of the section index. Click the board icon to switch from list view to kanban. ORCA remembers your choice per section, so it stays in kanban view on your next visit without you having to switch again.

You can switch back to list view (or gallery view, if enabled) at any time using the same switcher.


Columns

Each column on the board corresponds to one option in the section's Group Records picklist. The column header shows the option name and colour.

Not every picklist option needs a column. If a status is archived, historical, or rarely used, it can stay in the picklist without appearing on the board. This is controlled per picklist option in Settings > Picklists. See Creating Picklists for details. Records with a hidden-column status still exist; they just won't appear on the board until their status is changed to a visible column.


Dragging Cards

Drag any card from one column and drop it onto another to update that record's picklist value. The change saves immediately, with no need to open the record or click save. The card moves to its new column and the record's activity log reflects the update.


What Appears on a Card

By default, cards show the record title and up to four additional fields from the template.

If you want more control, open the section's template and tick Show in Kanban Card on the specific fields you want to highlight. Once any field has this checked, cards show only those fields. The automatic "up to four" fallback switches off. This is the right approach when a template has many fields but only two or three are worth scanning at board level. See Creating Templates for details.


Filtering on the Board

The same filters available in list view apply to the kanban board. Use the filter bar at the top of the section to narrow records by field value, assigned user, or date. Filtered records disappear from the board; clearing the filter brings them back.
