Assignable To-Dos
ORCA's to-do system lets you keep track of what needs doing - and who's doing it.
Tasks can be assigned to you or another team member, given a due date, and optionally linked to a record. Whether it's a reminder to follow up on a proposal, prep for a call, or chase an outstanding item - this is where those things live.
Creating a To-Do
The quickest way to create a to-do is via the to-do drawer, which you can open from the icon in the top navigation bar. It's available from any page in ORCA, so you can capture tasks without losing your place.
From the drawer, you can set:
- Title - what the task is
- Due date - optional, but tasks become overdue once this passes
- Description - any extra context worth capturing
- Assigned user - defaults to you, but can be anyone on your team
Linking a record is optional. You can create a to-do as a standalone task - not attached to any account or contact - or link it to a specific record if you want to associate it with a company, contact, or other entity. Either way works fine.
You can also create to-dos directly from a record page if you want to link the task to a specific account or contact from the start.
Viewing and Managing To-Dos
Your open to-dos appear in the to-do panel on the dashboard. The list shows everything assigned to you that hasn't been marked complete.
Tasks that are overdue are highlighted - the row takes on a warm tint and the due date turns amber, so they're easy to spot.
Each task has a checkbox to mark it complete. Ticking it from the dashboard updates the list immediately. You can also manage tasks from within the to-do drawer, which shows your full list and lets you edit or complete individual items.
The drawer includes a search bar so you can quickly find a specific task by name without scrolling through your full list.
Team Visibility
Everyone sees their own to-dos. Tasks assigned to you by a colleague will appear in your list too.
Admins and Managers can view team members' task lists, which makes it straightforward to check progress or redistribute work without needing a separate system.
Tips
Keep task titles specific. "Follow up with Acme" is more useful than "Follow up" when you're scanning a busy list.
Use due dates. Even if the exact deadline is flexible, setting a due date means overdue tasks show up automatically rather than quietly slipping.
Use the drawer. It's the fastest way to capture something before you forget it, especially mid-workflow - and the search bar makes it easy to find tasks again later.
