ORCA AI

ORCA AI is an intelligent assistant built directly into the platform, designed to help you summarise, pull up context, and move faster without leaving your workflow.

Whether you're reviewing a communication, preparing for a meeting, or trying to get a quick read on a client relationship, ORCA AI pulls from your own data to give you relevant, grounded answers in real time.


Opening the AI Panel

Click the chat bubble icon in the top-right of the navigation bar to open the side panel, then select the AI Assist tab.

The AI panel is available on the following pages:

  • Company detail pages
  • Contact detail pages
  • Communication detail pages
  • Interaction (meeting) detail pages
  • News item detail pages
  • Record detail pages

What ORCA AI Can Do

The AI is context-aware - it knows which record you're looking at and uses that as a starting point. Key capabilities include:

  • Summarising a company's recent communications, interactions, and outstanding to-dos
  • Surfacing context on a contact or account by reviewing linked records
  • Answering plain-English questions about your internal data
  • Suggesting next actions or follow-up points
  • Linking directly to referenced records so you can jump there immediately

Prompt Chips

When you open the AI panel, you'll see a set of prompt chips tailored to the page you're on. These are quick-start questions designed to bring up the most useful context without you having to think about what to ask. Examples include:

  • "Summarise this company"
  • "What's outstanding on this account?"
  • "Summarise this communication"
  • "What do I know about this contact?"

You can tap a chip to send it immediately, or type your own question in plain English.


How Responses Work

Responses stream in as the AI works through your data - you'll see the answer build in real time rather than waiting for a single block of text. Responses are rendered as formatted markdown, including bullet points, headings, and links.

Any ORCA records mentioned in the response will be linked directly, so you can jump straight to the relevant company, contact, or interaction.

You can copy any assistant message to your clipboard using the copy icon that appears on hover.


Chat Session Persistence

Your conversation is saved within a session window. If you navigate away and return within 30 minutes, your previous exchange will still be there - you can pick up where you left off without re-entering context. Sessions are per-user, so navigating between different records within the same session keeps the conversation history intact. Starting a new session (via the "New Session" button) clears the history and begins fresh.


Privacy and Data Scope

ORCA AI is designed around a clear principle: your data stays within your account.

  • Queries and responses are scoped to your organisation's records only
  • Nothing is shared across accounts or organisations
  • Each user's access and visibility permissions apply - the AI only surfaces what that user is already allowed to see
  • Admins can restrict or disable AI access by role if needed

Tips

Be specific. "What were the key outcomes of our last three meetings with Acme?" will get you more useful answers than "tell me about Acme."

Use the prompt chips as a starting point. They're designed to bring up the most valuable context quickly - you can always follow up with a more specific question.

Ask follow-up questions. The AI maintains context within your session, so you can dig deeper without repeating yourself.
