Importing Contacts

ORCA can read a business card and turn it into a contact record in seconds. Take a photo on your phone, and the details appear on your desktop ready to review and save. No typing required.


Business Card Import

The business card importer is designed for the moments right after you've met someone. Open ORCA on your laptop, scan a QR code with your phone, take a photo of the card, and the contact fields are waiting for you on screen by the time you put your phone back in your pocket.

Starting an import

  1. Go to Contacts and click From business card in the top-right corner.
  2. You'll land on the import page, which opens in Upload mode by default. You can also switch to QR Code mode if you want to capture the card on your phone.

Upload Mode

If you already have a photo of the card saved on your computer, drag it onto the upload area or click to pick a file. JPEG, PNG, GIF, and WebP files up to 10MB are supported.

ORCA will read the card and pre-fill the contact form with whatever it finds.


QR Code Mode

This is the recommended flow for capturing a card in the moment.

  1. Switch to the QR Code tab on the import page.
  2. A QR code will appear. Scan it with your phone's camera. This opens a secure, temporary upload page on your phone.
  3. Tap the camera area and take a photo of the card.
  4. Tap Send to ORCA.
  5. Your laptop updates automatically. The review form will be pre-filled and waiting for you.

The QR code link is valid for 15 minutes. If it expires, just refresh the page to generate a new one.


Reviewing and Saving

Once a card has been processed, ORCA presents all the extracted fields for you to check before anything is saved. You'll see:

  • Name, job title, and email
  • Phone numbers (if only one number was found on the card, it will appear in both the telephone and mobile fields; adjust as needed)
  • LinkedIn and website
  • Address

Company matching

If the card includes a company name, ORCA will search your existing accounts and suggest matches. You can link the contact to an existing account, or check Create new company to add it fresh. If no match is found, the new company option is selected automatically.

When creating a new company, the address from the card is applied to both the contact and the new company record.

Once you're happy with the details, click Save contact. The contact (and company, if applicable) will be created and you'll be taken straight to the new contact's page.


Tips

Take the photo straight on, in good light. Cards photographed at an angle or in poor light can result in missed or misread fields. Always worth a quick check before saving.

The review step is there for a reason. AI extraction is good, but not infallible. A quick scan of the pre-filled form before hitting save will catch anything it got wrong.

The QR code expires after 15 minutes. If you're doing a batch of cards, it's worth refreshing between sessions so you're not caught out mid-import.

You can edit after saving. If you spot something wrong after saving, head to the contact's edit page and update it there.
