Contacts

More often than not a contact will have a parent account. The contacts come with a set of default data-points such as "First Name", "Salutation", "Email", "Mobile Number" etc.

Much like the parent account, you can add as many custom fields to these as you like. Whatever you need to track with a contact (future or current), you can do in the contacts section.


Add a new Contact

To add a new contact simply click the Create Contact button. If you've just met someone and have their business card to hand, click From business card instead - ORCA can read the card and pre-fill the contact form for you. See Importing Contacts for the full walkthrough.

There are no mandatory fields here, so just fill out as much basic information as you have about them.

View a Contact

Click a contact's name to view the contact detail page.

This allows access to their parent company if they have one, and any communications your organisation has had with this person.

This is also a great place to add notes about this contact. These are automatically time-stamped, and linked to your name, so it's a perfect place to add comments or details, such as the name of their spouse or a recent holiday destination. These notes might not seem like much, but they can really benefit the tone of a call, when you can reference more personal information like this.

From the detail view you can also click "Edit".

Edit a Contact

Edit and update the contact information exactly as you would expect.

There is only one mandatory field, "First Name". This allows you to add more information about a contact as and when you have the relevant details.

You can also assign a "Contact Owner" which defaults to you (because you are doing the creating) but it can be set to any member of your team.

Being a "Contact Owner" means you will be alerted to any changes in the contact's status, and your colleagues know that you are the person to talk to when they need to interact with them.

You can also delete the contact from this edit screen.


AI Assist

On any contact detail page, open the side panel (right edge of the screen) and select the AI Assist tab. You can ask the AI questions about the contact in plain English - for example, "What's our history with this person?" or "Summarise recent communications with this contact." The AI draws from the contact's linked records, communications, and interactions to give you a useful overview before a call or meeting.
